HR Coordinator - Administration

EFTA is an intergovernmental organisation working for the promotion of free trade and economic integration to the benefit of its four Member States; Iceland, Liechtenstein, Norway and Switzerland. The EFTA Secretariat provides services to the EFTA States and has offices in Geneva, Brussels and Luxemburg. The Headquarters in Geneva services the EFTA Council and provides services for policy development, negotiations and implementation of free trade and cooperation agreements with countries outside the European Union. The Brussels office supports the management of the EEA Agreement and assists the Member States in the elaboration of input to EU decision-making. EFTA’s Luxembourg office contributes to the development of the European Statistical system.

Role Description

The successful candidate is a highly motivated team player, willing to take on varied and challenging tasks. This includes participating in recruitment processes and providing extensive administrative support to the HR activities as well as being in the lead for organising EFTA’s employer branding, participation in Career Fairs and leading the Junior Professionals programme. The successful candidate will need to demonstrate a high level of independence and sense of responsibility. The team is small and works closely together on various projects as they arise, as well as backing each other up.

The tasks of the new HR Coordinator include, for example:

  • Being the main point of contact for HR services for EFTA’s sister organisation, the Financial Mechanism Office (FMO);
  • Leading the Junior Professionals Programme for all EFTA duty stations as well as for the FMO;
  • Handling a wide variety of administrative tasks within the HR team, e.g. preparing various forms for staff members, checking and following up on removal offers upon arrival and departure of staff members;
  • Participating in the recruitment process of staff and Junior Professionals, e.g. scheduling and setting up interviews, administering tests and providing other support;
  • Providing onsite support and managing logistical arrangements for various events;
  • Updating the intranet and various HR systems and databases.

Essential Skills

  • Top notch interpersonal skills, enthusiastic, highly motivated and able to take initiative;
  • Bachelor’s degree;
  • Concrete and relevant work experience within the field of HR;
  • Service-minded, solution-oriented, flexible and consistent;
  • Excel in administrative tasks and strong eye for detail;
  • Ability to work both independently and in a team;
  • Enjoys prioritising and dealing simultaneously with multiple tasks;
  • Excellent analytical skills and a substantial work capacity;
  • Ability to maintain confidentiality and exercise discretion;
  • Fluency in written and spoken English;
  • Strong IT skills;

Ideal Skills

  • Experience and interest in employer branding and Junior Professionals Programmes would be an asset;
  • Work experience in an international organisation would be an asset;
  • Good French and/or Dutch.

Grade: B4

Annual salary: EUR 49,371

Appointments are normally made at the first step of the grade. The Secretary-General reserves the right to appoint a candidate at a level different from that advertised. Through its recruitment policy, the EFTA Secretariat wants to ensure diversity in terms of gender, age and culture.

EFTA is an international organisation and the salaries and related payments are normally exempt from income taxation by the EFTA Member States and in the host states of the EFTA duty stations. Depending on the candidate’s family status, benefits and allowances may apply.
