Administrative Coordinator - EFTA Statistical Office Luxembourg
The European Free Trade Association (EFTA) is an intergovernmental organisation of Iceland, Liechtenstein, Norway and Switzerland, set up for the promotion of free trade and economic integration between its members, within Europe and globally. The EFTA Secretariat provides services to the EFTA States and has offices in Geneva, Brussels and Luxembourg. The EFTA Statistical Office (ESO) in Luxembourg acts as a liaison office between the Statistical Office of the European Union (Eurostat) and the EFTA national statistical institutes.
We are looking for a highly motivated team player who is willing to take on challenging tasks and provides administrative support to the ESO team, in particular related to the participation of the EFTA national statistical institutes in the European Statistical System under the EEA Agreement and the Switzerland - EU bilateral Agreement on statistics. The position is open to nationals of the EFTA Member States (Iceland, Liechtenstein, Norway and Switzerland) and of the EU Member States.
Role Description
The main tasks of the successful applicant will include:
- Facilitating the full participation of the EFTA States in the European Statistical System (ESS), keeping an overview of ESS meetings and coordinating the participation of EFTA experts in those meetings, numbering about 150 annually.
- Coordinating EFTA’s participation in the European Statistical Training Programme together with the EFTA National Statistical Institutes (NSI) and Eurostat, involving preparation of administrative documents such as contracts, course descriptions and estimated budgets.
- Providing secretarial and administrative support to a small team of professional staff members, including travel arrangements, reporting duties, and keeping an overview of upcoming reports and deadlines.
- Taking care of day-to-day management of office supplies and equipment, including basic IT support, as well as administrative procedures for new staff and experts seconded from the EFTA NSIs, and processing of invoices and VAT.
- In cooperation with the other Coordinator, organising logistics and providing support for external high-level meetings and events involving EU Member States, international organisations and partner countries.
- Proofreading documents, letters, reports etc., and assistance in drafting documents in English to a high standard.
Essential Skills
- Relevant university degree or diploma;
- Minimum 3 years of professional experience with administrative tasks in an international context;
- High proficiency in English, ability for editing and proofreading in English;
- Positive and proactive attitude;
- Excellent organisational, communication and problem-solving skills;
- Ability to communicate at all levels with representatives of Governments and State agencies with tact and courtesy;
- Client-focused, providing quick responses to internal and external requests;
- An eye for detail while keeping the overview.
Ideal Skills
- Experience of or demonstrated interest in international cooperation, particularly in the field of official statistics;
- Well-developed IT and AI skills;
- Fluency in spoken and written French;
- Knowledge of German and any other EFTA languages as well as Russian.

Grade: B4
Annual salary: EUR 68,090.64 (subject to annual indexation in 2026)
Appointments are made at the first step of the grade. The Secretary-General reserves the right to appoint a candidate at a level different from that advertised depending on the relevance and length of professional experience, demonstrated by the candidate.
EFTA is an international organisation, and the salaries and related payments are normally exempt from income taxation by the EFTA States and the host States of the EFTA duty stations. Depending on the candidate’s family status, benefits and allowances may apply.
